The Program Coordinator (PC) plans and manages church programs, special events, and weekly ministries. The PC coordinates schedules and serves as project manager for all activities within the church calendar, while recruiting, training, equipping, and organizing volunteer teams. The goal is to strengthen and grow church and community-facing programs, while empowering, motivating, and inspiring volunteers and congregational engagement.
Program & Event Management
- Plan activities from start to finish
- Maintain an activities calendar with timelines, delivery dates, and key administrative details
- Coordinate large events, including the four current community outreach events
- Build and strengthen community partnerships
- Identify and pursue sponsorships for community events
- Grow and creatively strengthen outreach events
- Book outside vendors as needed
Volunteer Coordination
- Recruit, train, equip, and onboard new volunteers and teams
- Establish volunteer teams for major community outreach activities and internal teams for ongoing in-church ministries
- Complete background checks and maintain safety training for volunteers
- Maintain positive working relationships with volunteers
Administrative & Communication
- Update the master church calendar, working with the Pastor on planning
- Maintain accurate databases of volunteers, participants, community partners, and funders
- Coordinate with the Communication Specialist to keep the congregation and community informed of upcoming events
Financial Tracking
- Help design yearly program budgets; track and record ministry expenses
- Purchase materials, supplies, resources, books, and curriculum as needed
- Maintain accurate financial records and receipts
Requirements & Qualifications
Education
High school diploma required; some college or a Bachelor's in business preferred.
Experience
1–3 years in event planning or as a church program / faith formation coordinator.
Tech Skills
Proficient in Microsoft Suite and Google Drive; able to learn church management and project management systems and work comfortably in databases.
Organization
Strong organizational skills; able to manage multiple projects and deadlines with attention to detail.
People Skills
Kind, welcoming, and confident communicating with all ages and groups; assertive and comfortable with public speaking.
